COVID - 19 Restrictions and AGMs

Valley Sport wishes to advise clubs that due to the extended state of emergency, all training courses will remain postponed for now and will be rescheduled when we have more information regarding the COVID – 19 restrictions.

Please be aware that all scheduled courses have been postponed, not cancelled. Anyone who has made bookings or expressed interest in participating in courses will be notified of the new dates once the course rescheduling has taken place. We are also currently exploring the possibility of some courses being provided virtually utilising online platforms meaning we may be able to offer some courses sooner.

Keeping Active - Online Resources

Regular exercise is more important than ever during the current coronavirus crisis. The Valley Sport team have been participating in the Premier’s Active April to stay active and motivated. Committee Meetings and Annual General Meetings

Clubs may be wondering if they can still hold their general committee meetings or their Annual General Meeting (AGM) during this​ time of uncertainty. Your club can and should still hold meetings in accordance with your normal schedule. However, in following the current restrictions regarding gatherings you cannot meet in person and will need to use telephone, videocall or other means of electronic communication to do so.

Clubs normally have five (5) months to hold their AGM from the end of the financial year which has been determined by the club. If you are not sure of when your financial year ends you can check your club rules (Constitution). Consumer Affairs Victoria have made allowances for possible extensions should COVID – 19 impact on your ability to hold your AGM or submit your financial statements in the required timeframes.

Consumer Affairs Victoria has also provided guidance on online meetings for incorporated associations (clubs) and proxy voting. Tips for running committee meetings and AGMs online:

  • Ensure that your club is still adhering to your club rules (Constitution), including quorum requirements

  • Issue the notice for your AGM in accordance with your Constitution and ensure that the notice informs members that the meeting will be held electronically

  • Provide all reports and documents to be considered at the meeting including the Annual Financial Statement to members either via email or a private link on your website as far in advance as possible

  • Prepare minutes following the AGM as per normal and record that the meeting was held electronically within your minutes

A Level Playing Field for All - Gender Equality Project

Want to take a break from the Covid-19 world for a moment?

Has your club always wanted to implement better or new strategies to support women and girls within your club?

Right now is an excellent time to take a break and have a look at what your club could implement for next season to increase participation of women and girls within all levels of sport, whether it be the junior squad or the game day volunteers.

Here at Valley Sport, our Level Playing Field for All project aims to make sure sport is a site for inclusion, safety and equity for women and girls. To achieve this our goal is to:

  • Increase representation of women in leadership roles.

  • To improve equity and access to sporting grounds and facilities.

  • Improve gender equity knowledge and awareness.

  • Increase the profile of women and girls in sport.

Some examples of how the project can support your club include:

  • Review of your club's policies and processes to ensure they are equitable and inclusive for all.

  • Provide training and workshops that help raise awareness about gender equality in sport.

  • Support your club to create action plans that are practicable for your club to implement.

  • Look over and provide assistance with social media communications and gender appropriate language.

  • Shine a light and celebrate examples of amazing women within your club that are paving the way for others.
